What a data room is for
A KXCO Sign data room is a private, view-only space for sharing sensitive documents with named people — without handing over files they can download, forward or print. It's built for due diligence, fundraising, board materials, legal disclosure, M&A and any situation where you need to let someone read something confidential while keeping control of the file and a record of every view. Every account on KXCO Sign has its own private data rooms; there's nothing extra to buy to get started.
The six-step flow
Open the Data Room console
Log in at sign.kxco.ai and choose Data Room from the sidebar. You'll see your rooms and a button to create a new one. Your rooms are private to your account.
Create a room
Give the room a clear name (for example, "Series A — Diligence") and an optional description. You can also set an access code for an extra layer beyond the email link — useful when you want a code shared through a separate channel before anyone can enter.
- Each room is a self-contained space, separate from your signing documents.
- Rooms and invitations expire after seven days by default.
Upload your documents
Add one or more files to the room — you can select several at once, and add more at any time. KXCO Sign converts office files to PDF and renders every page into secure images that are served only inside the locked viewer. The raw files are never placed at a public URL, so there's no link that hands over the original document.
Invite viewers by email
Invite people by email — one at a time, or in bulk by pasting many addresses separated by commas or new lines. Each viewer receives their own unique secure link, and you also get a copyable list of links to share through your own channels. No viewer needs an account.
- Each link is tied to one email address and one room.
- Revoke any invitation instantly — the link stops working immediately.
- If you set an access code, viewers enter it before anything else loads.
The NDA gate and the locked viewer
Before a single document loads, every viewer must accept a built-in NDA addressed to you — a tick-to-agree with their typed full name. The acceptance is recorded with their name, email, the exact NDA text, time, and a cryptographic proof signed with a post-quantum (ML-DSA-65) key, and a signed NDA certificate is emailed to both parties.
Once they're in, documents open in a locked, view-only viewer:
- No download, no copy/paste, no printing, no text selection.
- The view blurs the moment the tab loses focus.
- Idle sessions time out automatically.
- Pages are rendered as images, not handed over as files.
Track every view
Back in your console, you see a live activity record: who opened the room, which pages they viewed and when. A "Recent Data Room activity" panel on your dashboard keeps the latest events in front of you, so you always know how your materials are being used — and you can revoke access the instant you need to.
What it does — and what it doesn't
We're deliberately straight about this, because it matters when you're sharing something sensitive:
- What it does: removes the easy ways to take a document (download, copy, print), puts every viewer behind a recorded NDA, and gives you a complete, timestamped trail of who viewed what.
- What it doesn't do: no web platform can stop someone photographing their screen with a phone. Treat the data room as powerful deterrence plus full traceability — not an absolute guarantee against a determined leak.

What is a KXCO Sign data room?
